This Privacy Policy explains how MOE RESEARCH Co., Ltd. collects, uses, shares, and protects your information when you use PomeloKit — including the audio you record and the transcripts and summaries we generate from it.
Introduction
PomeloKit is operated by MOE RESEARCH Co., Ltd. (“PomeloKit,” “we,” “us,” or “our”), which is the controller of the personal information described here. This policy applies to the PomeloKit mobile, watch, desktop, and web applications and related services. By using PomeloKit, you acknowledge the practices described in this policy. It should be read together with our Terms of Service.
Information we collect
Information you provide
- Account information — your name and email address, and the sign-in method you choose (Sign in with Apple, Google, or a one-time email code).
- Recordings and audio — the audio you capture or upload through PomeloKit.
- Transcripts, summaries, and notes — the text and highlights generated from your recordings, plus any titles, edits, folders, or notes you add.
- Support and communications — messages you send us and information you provide when you contact support.
Information collected automatically
- Device and app data — device model, operating system, app version, language, and similar technical details.
- Usage and log data — features used, actions taken, and diagnostic or crash information that helps us keep the Service reliable.
Information from third parties
- Sign-in providers — when you sign in with Apple or Google, we receive basic profile information such as your name and email, subject to your choices with those providers.
- Payments — subscriptions are processed by the app store or payment provider. We receive confirmation of your purchase and subscription status, but we do not receive or store your full payment-card details.
How we use your information
- Provide the core Service — record audio, generate transcripts with speaker labels, and produce summaries, action items, and highlights.
- Create and manage your account and authenticate you.
- Process subscriptions, billing, and related notifications.
- Provide customer support and respond to your requests.
- Maintain, secure, troubleshoot, and improve the Service, including with aggregated or de-identified analytics.
- Detect, prevent, and address fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms of Service.
AI processing and service providers
To turn your recordings into transcripts and summaries, your audio and the text derived from it are processed by trusted service providers (sometimes called sub-processors) acting on our behalf and under contract. These include providers for:
- Cloud hosting and storage — to store your account, recordings, and transcripts securely.
- Authentication — to sign you in and keep your account secure.
- Speech-to-text and AI — to transcribe your audio and generate summaries, action items, and highlights.
We share with these providers only what they need to perform their function. We do not sell your recordings or transcripts, and we do not permit our AI providers to use the substance of your content to train their generally available models. We can provide more detail about our current sub-processors on request.
Data retention
We keep your information for as long as your account is active and as needed to provide the Service. You can delete individual recordings and transcripts at any time, and you can delete your account to remove your content. After deletion, we remove or de-identify your information within a reasonable period, except where we must retain certain data to meet legal, accounting, or security obligations. Residual copies may persist briefly in routine backups before they are overwritten.
How we protect your information
We use technical and organizational measures to protect your information, including encryption in transit and at rest, access controls, and limiting access to personnel who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond promptly to any incident.
Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, export, or restrict the processing of your personal information, and to object to certain processing or withdraw consent.
- Access and deletion — manage and delete recordings, transcripts, and your account from within the app.
- Communications — opt out of non-essential emails at any time.
- Regional rights — if you are in the EEA, the UK, California, or another region with privacy laws, you may exercise the rights those laws provide, and we will not discriminate against you for doing so.

Recordings and the rights of others
You control what you record. When you record a conversation, we process that audio on your behalf and at your direction. You are responsible for obtaining any consent the law requires and for complying with applicable recording and privacy laws.
If you believe you have been recorded through PomeloKit and have questions about your information, please contact the person who made the recording, as they control that content. You may also reach us at privacy@pomelokit.com and we will assist where we reasonably can.
International data transfers
PomeloKit is operated from Thailand, and your information may be processed and stored in Thailand, the United States, or other countries where we or our service providers operate. These countries may have data-protection laws that differ from those in your country. Where required, we use appropriate safeguards for international transfers.
Children’s privacy
PomeloKit is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
Third-party links and services
PomeloKit may link to or integrate with third-party services. We are not responsible for the privacy practices of those services, and we encourage you to review their privacy policies. Information you share with a third-party service is governed by that provider’s terms.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice. Your continued use of PomeloKit after changes take effect means you accept the updated policy.
